Our office is seeking a reliable, organized, and detail-oriented Administrative Assistant to support daily business operations. This role is ideal for someone who is professional, proactive, and comfortable managing a variety of administrative tasks in a remote work environment.

The Administrative Assistant will help with communication, scheduling, documentation, data entry, file management, and general office support. The ideal candidate should be dependable, comfortable with shifting priorities, and able to maintain professionalism when communicating with clients, team members, and business partners.


Responsibilities

  • Answering and directing phone calls
  • Making phone calls
  • Taking and distributing messages
  • Organizing and scheduling appointments
  • Organizing and coordinating meetings
  • Handling inquiries and incoming work requests
  • Reviewing files and records to answer requests for information
  • Checking and distributing documents and correspondence
  • Receiving, sorting and distributing incoming mail
  • Maintaining filing systems
  • Compiling records of office activities
  • Photocopying, scanning and faxing
  • Sending emails
  • Preparing and sending outgoing mailings and packages
  • Typing documents and correspondence
  • Checking and entering data
  • Updating and maintaining databases
  • Coordinating workflow
  • Monitoring and ordering inventory of office supplies
  • Other duties as assigned

Must Have

  • High school diploma or general education degree (GED) required; Associateโ€™s degree or higher in Business Administration preferred
  • 1โ€“3 years of clerical, secretarial, administrative, or office experience preferred
  • Strong verbal and written communication skills
  • Communication and marketing skills to act as a point of contact between internal team members and clientsย 
  • Time management and prioritization skills to support efficient scheduling and office systems
  • Budgeting, bookkeeping, and planning skills preferred
  • Knowledge of associated computer software and general office systems
  • Proficient computer skills, including Word, PowerPoint, Excel, PDF tools, email, and database systems
  • Comfortable with routinely shifting demands and changing priorities
  • High degree of attention to detail
  • Data entry experience
  • Working knowledge of general office equipment
  • Quality assurance mindset to help maintain company standards for products and services
  • Ability to work independently in a remote environment
  • Professional, dependable, and organized approach to daily tasks

Nice to have

  • Associateโ€™s degree or higher in Business Administration
  • Experience with bookkeeping, budgeting, or planning
  • Experience with client relationship management
  • Strong analytical skills
  • Experience with data entry and database updates
  • Experience working remotely
  • Familiarity with Word, Excel, PowerPoint, PDF tools, email platforms, and online scheduling systems
  • Marketing or customer service experience
